Job Description: The Federal Airport Authority of Nigeria (FAAN), a government agency under the Ministry of Aviation and Aerospace Development, is seeking to fill the position of Personal Assistant. The role involves managing administrative duties for the Executive Director, handling sensitive assignments, and serving as a crucial information connection between the Executive Director and internal & external stakeholders.
Responsibilities:
- Diary Management and Administration:
- Manage the Executive Director’s diary, ensuring flexibility and anticipating needs.
- Organize external visits, meetings, and speaking engagements.
- Coordinate briefing materials and make travel/accommodation arrangements.
- Prepare letters, reports, and other documents.
- Screen incoming calls and direct them appropriately.
- Review and distribute incoming correspondence.
- Administrative Support:
- Provide support for various administrative tasks as directed.
- Maintain organizational charts for areas of responsibility.
- Process expenses within company guidelines.
- Attend meetings on behalf of the Chairman if necessary.
- Ensure timely completion of tasks and meet deadlines.
- Communication:
- Communicate effectively at all levels internally and externally.
- Convey a professional image, exercise tact and diplomacy.
- Handle sensitive information with the highest level of discretion and confidentiality.
- Deal with enquiries and requests promptly, escalating when necessary.
- Build and maintain strong working relationships with key contacts.
- Qualifications:
- Bachelor’s Degree with at least 4 years of experience.
